What Happens After You Get in Touch
We have built the enquiry process around a single principle: the person who replies to your first message will be the person who walks the room with you, attends the tasting, and is on site on the morning of the event. No hand-offs.

A named event director, within thirty-eight minutes.
Your message is routed to the duty director on rotation that day. They will reply personally, in plain English, and confirm whether your preferred room and dates are free. The average response during business hours is under thirty-eight minutes; outside hours, the first reply lands at 09:00 GMT.

A short, useful reply — not a brochure.
Expect two or three sentences on room suitability, the indicative day delegate or hire rate, and two proposed viewing slots in the next ten working days. If your dates are taken, we will suggest the closest alternatives rather than letting the conversation drift.

One date, held for forty-eight hours.
Once a date and room are agreed in principle, we hold them for forty-eight hours while contracts are exchanged — long enough for internal sign-off, short enough that we can keep the diary honest. After that the date returns to general availability.
Our team has staged more than 4,200 confirmed events since 2009, for 84 of the FTSE 100 and 17 sovereign embassies. Ninety-four per cent of corporate clients return for a second event within eighteen months. None of that matters, though, until we have answered your first question well.

Before You Enquire
Four questions our operations team is asked most often by executive assistants and corporate planners in the first five minutes of a call. If your question is not here, ask it anyway — the answer is usually short.
What are the room capacities, and which is best for a forty-person board?
All eight rooms sit on a single private floor and range from the 12-seat Cromwell Boardroom through to the 220-guest Whitelands Ballroom. For a forty-person board with breakout space, directors most often choose the Lancaster Suite (boardroom for 24, with adjacent reception space for the wider group) or a combination of the Cromwell Boardroom and the Devonshire Library. We will recommend the specific configuration once we know your agenda.
Are you licensed for civil ceremonies, and how does that affect a private dining booking?
Yes. We are one of fewer than thirty Westminster-licensed townhouse event spaces. Civil ceremonies use the Whitelands Ballroom or the Ascot Room for up to 120 guests, and our event directors are practised at running the legal side of the day alongside catering and production. Civil ceremony licensing has no effect on the standard private dining or boardroom hire — the licence simply makes the venue available for the full day, not just the reception.
Where is the catering sourced, and can you cater for restricted diets?
All produce for our private dining menus is sourced within sixty miles of London, through named farms and small producers we have worked with since 2009. The executive chef team — six chefs in residence — holds two Michelin Bib Gourmand awards (2022 and 2024) for the private dining menu. We routinely cater for halal, kosher, vegan, gluten-free, allergen-restricted and faith-observant menus; please flag any requirements in the brief and the chef will reply directly.
What sustainability credentials do you hold, and can you evidence them for our ESG report?
Hyde Park Rooms has held Carbon Trust carbon-neutral certification since 2021. All catering produce is sourced within sixty miles of London, single-use plastics have been eliminated from front-of-house since 2020, and we publish an annual operations report for corporate clients who need to evidence venue ESG data for their own reporting. We are also accredited by VisitEngland and are members of the Meetings Industry Association.
